As an office assistant, you will be the first point of contact for our company.
The duties include the following:
Greet guests, employees, and delivery drivers entering the office and address their needs.
Address phone and e-mail communications as needed and provide reminder phone calls to our next day passengers.
Enter client data into our MediRoutes software and assign as needed.
Post and/or update any social media pages as well as the website.
Assist other office personnel as needed.
To be successful as an office assistant, you should have a pleasant personality and show care and compassion to our passengers.
You should be able to handle driver issues in a timely and effective manner, while streamlining office operations.
Ultimately, the assistant's duties and responsibilities are to ensure the front desk welcomes guests positively, and executes all administrative tasks to the highest quality standards.
The hours of this position are:
Monday-Friday 8:
30AM- 5:
00PM Responsibilities Greet and welcome guests as they arrive at the office.
Direct visitors to the appropriate person and office.
Answer, screen, and forward incoming phone calls, as needed.
Ensure reception area is tidy and presentable.
Provide basic and accurate information in-person and via phone/email.
Conduct reminder calls.
Enter ride slips correctly.
Follow up on any communications--verbal or written.
Update and post to our social media account(s) and website.
Perform other clerical duties such as filing, photocopying, and scanning as needed or requested.
Other tasks as needed.
Skills Must be able to type proficiently and accurately.
Proficiency in Microsoft Office:
Excel and Word mainly.
Hands-on experience with office equipment:
computers, printer/copier, multiline phones.
Must be able to learn new programs/software.
Professional attitude and appearance--office casual.
Solid written and verbal communication skills.
Ability to be resourceful and proactive when issues arise.
Excellent organizational skills.
Multitasking and time-management skills, with the ability to prioritize tasks.
Requirements This position requires strict confidentiality as HIPAA regulations dictate.
Attendance is crucial.
Ability to type efficiently and correctly.
Attention to detail.
Must be compassionate and understanding.
Have a positive attitude.
